Privacy Policy

This policy explains how Adaptra Reacch 319 handles information across its campaign, CRM, appointment and Google Calendar services.

1. Who we are and what this policy covers

Adaptra Reacch 319 provides customer workspaces for campaign landing pages, lead management, communications, reporting and appointment scheduling. This Privacy Policy applies to our public website, customer portal, campaign pages, appointment pages and integrations, including the optional Google Calendar integration.

2. Information we collect

Account and customer information

We may collect names, business or brand details, email addresses, telephone numbers, account credentials, plan and billing records, team membership and support communications.

Lead, campaign and appointment information

When a person submits a campaign form or books a consultation, we may process their name, phone number, email address, city, postcode, gender when requested, consent choices, campaign attribution, appointment time, communication history, notes and lead status. Our business customers determine which form fields they use and are responsible for giving their leads appropriate notices and obtaining required consent.

Technical and usage information

We may process IP address, browser and device information, timestamps, referring pages, cookies, campaign parameters such as UTM or Meta click identifiers, security logs and product usage events for operation, security, attribution and troubleshooting.

3. Google user data

Google Calendar access is optional and is enabled only when an authorised customer user chooses Connect Google Calendar and completes Google’s consent flow. The application requests access to:

  • identify the connected Google account and read its email address;
  • check free/busy availability for the selected calendar;
  • create consultation events, invite the relevant attendee and create a Google Meet link;
  • update an event when an appointment is rescheduled; and
  • delete an event when an appointment is cancelled.

We store the connected account email, selected calendar identifier, encrypted OAuth access and refresh tokens, token expiry information, connection status, and identifiers and links returned for appointments created through the service. We do not use Google Calendar data for advertising, sell it, use it to build advertising profiles, or use it to train general-purpose artificial intelligence models.

Google API Limited Use. Adaptra Reacch 319’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4. How we use information

  • provide, secure and administer customer workspaces and user accounts;
  • capture leads and associate them with the correct customer and campaign;
  • schedule, reschedule and cancel consultations and avoid calendar conflicts;
  • send requested confirmations, reminders, operational alerts and broadcasts;
  • provide reports, attribution and service performance information;
  • process plans, credits, invoices and account renewals;
  • respond to support requests, prevent abuse and comply with law; and
  • improve the reliability and usability of the service.

5. How information is shared

Information may be shared with the customer organisation whose campaign or workspace collected it, authorised members of that workspace, service providers that help us host, secure, deliver email or operate integrations, and authorities where disclosure is legally required. Service providers may process information only for the services they provide to us and under appropriate obligations.

We do not sell personal information or Google user data. We do not disclose one customer’s workspace information to another customer.

6. Storage, security and retention

We use access controls, tenant separation, encrypted storage for sensitive integration credentials, secure transport and operational monitoring designed to protect information. No internet service can guarantee absolute security.

We retain account, lead, communication, appointment and billing information for as long as needed to provide the service, meet customer instructions, maintain legitimate business and security records, and satisfy legal obligations. Retention may vary according to the type of record and applicable law.

7. Disconnecting Google Calendar and deleting data

A connected customer can disconnect Google Calendar from the portal’s Settings page. Disconnecting removes the stored Calendar connection and OAuth tokens from the application, but does not automatically erase CRM leads, appointment history, audit records or events already placed in Google Calendar. A user can also revoke access from their Google Account connections.

To request access, correction or deletion of personal information, contact us using the details below. We may need to verify identity and may retain information where law or legitimate security and record-keeping requirements apply.

8. Cookies and third-party services

We may use essential cookies for authentication, security and preferences, and measurement technologies configured for particular campaigns. Campaign pages may link to or use third-party services such as Google, Meta, email delivery providers or customer-supplied websites. Those services have their own privacy practices.

9. Children

The service is designed for business customers and adults seeking insurance, financial education, webinars or consultations. It is not directed to children under 18, and customers must not knowingly use it to collect children’s information without a lawful basis and appropriate safeguards.

10. Changes to this policy

We may update this policy when our services, integrations or legal obligations change. The current version and effective date will always be published on this page. Material changes to the handling of Google user data will be reflected here before the new practice is introduced.
